📋 How to Pull an Ad Spend Report #
This training will show you how to pull ad spend reports for clients to ensure the “total” column in your billing sheet is always up to date. This is crucial for accurate billing, especially on a client’s billing day.
🔔1. Notify the Closer #
First things first, we want to let the closer know the campaign is live.
- Head over to the Appointment Closer Thread.
- Tag the closer (like “@Alex” or “@Sarah”) and clearly state the client’s name and that their campaign is live (e.g., “Eden Medical is live!”).
🚀2. Update the Dashboards #
Once the closer is notified, it’s time to update our internal dashboards. We’ll tackle three main ones:
A. Results Spreadsheet #
This spreadsheet tracks campaign performance.
- Locate the Client: Find the client’s name (e.g., “Eden Medical”) in the results spreadsheet.
- Un-highlight the Row: This indicates the client is no longer in onboarding.
- Update Launch and Rollover Dates:
- In the “Estimated Launch Date” column, update it to the actual launch date (e.g., 6/2/2025).
- For the “Rollover Date,” calculate 90 days from the launch date. However, if they have end-of-month billing, adjust it to the last day of that month.
- Example: If launched June 2nd, the rollover is typically 90 days out. If they have end of month billing, their rollover would be the last day of August (8/31/2025).
- Clear “Tulio Approved” Note: Delete any “Tulio Approved” notes from that column.
- Alphabetize the List: Re-sort the client list alphabetically.
- Apply Conditional Formatting:
- Crucially, pull down the conditional formatting one row at a time. Don’t drag sideways, as each column has different formatting.
- Start from the first relevant cell and drag the row down to apply the formatting correctly. This ensures your tracking shows up properly.
- Hide Unused Rows: Once updated, you can hide any empty rows you weren’t using.
B. CSA Dashboard #
This dashboard tracks client success and account status.
- Locate the Client: Scroll to the bottom and find the client’s name (e.g., “Eden Medical”).
- Update CSM (If Needed): If the CSM name isn’t accurate, update it (e.g., change to “Alex”).
- Set Status to “Active”: Change the status in the relevant column to “Active.”
- Un-highlight the Row: Remove any highlighting from the row to show it’s active.
- Alphabetize and Adjust Row Height:
- Re-sort the list alphabetically.
- Right-click the row and resize it to 25 to ensure everything looks neat.
C. Geotargeting Tab #
This tab tracks the geographical focus of campaigns.
- Search for the Client: Find the client’s name (e.g., “Eden Medical”) in the geotargeting tab.
- Un-highlight the Row: Remove the highlighting to indicate it’s no longer in onboarding.
D. CSM Account Tab #
This tab is another component of the CSM dashboard.
- Locate the Client: Find the client’s name.
- Un-highlight the Row: Just like in geotargeting, un-highlight the row to show the campaign is live.
E. Revenue Tracker #
Finally, we update the revenue tracker.
- Search for the Client: Find the client (e.g., “Eden Medical”).
- Update Launch Date: Input the actual launch date in the appropriate column.
- Add Retention Notes: In the “Retention Date Notes” column, always add “Launched” followed by the launch date.
- Set Status to “Active”: Change the status to “Active.”
- Un-highlight the Row: Un-highlight the entire row of cells to visually indicate the campaign is now live.
And that’s it! By following these steps, you’ll ensure all our dashboards are accurate and reflect the live status of each campaign.
