Updating Cancellation and Rescheduling Policies

This guide will walk you through the process of updating your cancellation and rescheduling policies within your automation workflows and funnel pages.

Step 1: Accessing the Workflow #

  1. Navigate to Automation.
  2. Select the Booking Content Information and Reminder Workflow.
  3. On the second page, locate and click on the published workflow, which is typically labeled as “Number 5B.”

Step 2: Modifying Email One #

  1. Open Email 1: Confirmation.
  2. Scroll down to the text editor. You can drag the bottom right corner of the text box to make it larger for easier editing.
  3. Locate the section that begins with “Please note cancellation, no show policy. So right where it’s at, we require…”
  4. Delete all text from “we require” down to the second-to-last paragraph. Ensure you leave the very last paragraph, which usually starts with “please call us directly.”
  5. Press Enter a couple of times to create space.
  6. Paste the updated cancellation policy text (which should be provided to you separately, often from an email attachment). Start pasting from “we require.”
  7. Clean up the formatting as needed. Pay attention to bullet points (ABC, Roman numerals) to ensure they translate correctly. Adjust spacing and paragraph breaks to improve readability.
  8. Bold the “Rescheduling Policy” heading.
  9. Ensure there’s a space after “Appointment deposits are.”
  10. Once the text is updated and formatted correctly, copy the entire updated “Please note” section, from “Please note” all the way to the end of the new policy text.
  11. Click Save Action.

Step 3: Modifying Email Two #

  1. Scroll down to Email 2: Thank You.
  2. Delete all content from the beginning of the email down to where you will paste the new policy.
  3. Paste the updated policy text that you copied from Email One.
  4. Click Save.
  5. Finally, click Save Workflow to save all changes to the workflow.

Step 4: Updating Funnel Pages #

Now, let’s ensure the policies are consistent across your funnel pages.

  • Click Back to Workflows in the top left corner.
  • Go to Sites.
  • Click on the Funnels tab.
  • Access the first “Thank You” page by clicking the arrow next to “Edit” and selecting “Edit in a new tab.”
  • Scroll down to the Terms and Conditions section. Place your cursor after the last sentence in the existing terms and conditions and press Enter a couple of times.
  • Paste the updated cancellation and rescheduling policy. You may need to use a “paste without formatting” option (e.g., Shift + Command + V on a Mac or Shift + Ctrl + V on a PC) to maintain the page’s existing styling, then clean up any formatting issues.
  • Carefully compare the new text with the existing “cancellation no show policy” on the page. You may find some redundant phrases or slight variations. For example, if the existing text says “A confirmed appointment that results in a no show or cancellation with less than the timeframe we request,” you can copy that specific phrasing from the existing text to align it with the new policy.
  • Delete any redundant or outdated parts of the existing policy, replacing them with the new, unified text.
  • Ensure the “rescheduling policy” section is also updated and properly formatted.
  • Click Save. It’s a good habit to click Save twice, as the system can sometimes be particular.
  • Close the current tab.

Step 5: Updating the Second Thank You Page #

  1. Go back to your Funnels list.
  2. Find the other “Thank You” page (e.g., “Thank You 199” or “Plain Thank You,” often associated with deposits).
  3. Click the arrow next to “Edit” and select “Edit in a new tab.”
  4. Scroll down to the terms and conditions.
  5. Delete the last two bullet points or the corresponding outdated policy text.
  6. Paste the updated cancellation and rescheduling policy, using the “paste without formatting” option as before to ensure consistency.
  7. Adjust formatting as needed, particularly ensuring proper paragraph breaks and the clear separation of the “Rescheduling” section.
  8. Click Save (and save again for good measure!).

You’ve now successfully updated your cancellation and rescheduling policies across your workflows and key funnel pages!
